The Association has Concierge service located in the Clubhouse. Concierge personnel will be on duty 12-hours per day, 8AM to 8PM. Duties will include interacting with the security guard, checking in guests, coordinating parking, monitoring security equipment, coordinate all clubhouse activities, and providing support services and attention for the residents.

CONCIERGE DUTIES AND PROCEDURES

The following list of the concierge duties and services that you should be aware of so that you may understand the Concierge’s role and so that you may take advantage of their services at The Plaza:

  • Be responsible and knowledgeable about all of the Clubhouse amenities, including exercise equipment, theater, kitchen, grille, and pool facilities. Maintain a clean and pleasant environment.
  • Report all incidents and damages to the management at the Clubhouse or residential buildings.
  • Assist you with locating vendors and services.
  • Make reservations for dinner or arrange for taxi service.
  • Aid you with mass transportation availability.
  • Provide the occasional escort service of guest or resident to the residential buildings.
  • Log in all visitors (contractors, repairmen, etc.) into the appropriate logbook(s).
  • Coordinate on site common area maintenance with contractors approved by management and authorized by management for specific services.
  • Coordinate association activities at the clubhouse and aid with private resident events conducted at the clubhouse.
  • Announce all visitors to the unit resident, if security gate is unmanned.
  • Our Concierges are required to keep visitors at the front desk (when security gate is unmanned) until permission is received from the unit resident to allow access.
  • Maintain control of all common area keys and those entrusted by unit owners for their home. A log in and out manual will be maintained.
  • The Concierge will receive packages, envelopes and other items and log them into the logbook or Building Link system. They will notify resident of the receipt of these items.
  • Secure all packages, deliveries, and other appropriate items at the designated area.
  • Maintain proper telephone etiquette.
  • Will not allow unauthorized flyers or solicitations to be placed on the Clubhouse front desk or in the lobbies of the residential buildings.
  • Aid resident in the use and return of package / luggage carts.
  • Have the availability of communications radio to reach the porter and security guard to enhance any property service needs or respond to property conditions warranting attention.
  • Notify management of any emergencies occurring in the residential buildings or amenities.
  • Concierge will sign in packages under their name only.
  • Never accept cash from a resident to keep at the Clubhouse front desk or package room.
  • Coordinate the delivery of newspapers or other authorized deliveries.
  • Dry cleaning vendors will be able to pick up and deliver dry cleaning for owners upon written authorization from the owner. Maintain a log of the authorizations. Under no circumstances are payments to the dry cleaning vendor to be accepted by the concierge on behalf of the owner.
  • An email, fax and copy facilities will be available for use by concierge, valet, and management. Resident use is limited to occasional convenience but not for daily or routine business.
  • Will maintain a complete and updated Contact Information Sheet at the Clubhouse front desk for their use and as an aid to resident should the need arise.
